Signs and Posting Policy

Policy Statement: Sharing information helps our college community stay connected. This policy explains how to post flyers and signs on campus in a fair and organized way. We want to keep our campus welcoming while making sure everyone has a chance to share their message. 

Purpose: This policy promotes clear and fair communication, ensuring that all members of the college community have access to share information, events, and services. By regulating where and how materials can be posted, the policy helps keep the campus clean, uncluttered, and welcoming. 

Audience: This policy applies to all students, employees, and outside community members and defines where and how signs and postings may be added to campus. 

Definitions

  • Campus-sponsored – Events, activities, programs, clubs, departments, classes, or gatherings organized or officially endorsed by a Saint Paul College department, office, or recognized student organization. 
  • External content – Materials that advertise events, sales opportunities, clubs, programs, or gatherings that a Saint Paul College department, office, or recognized student organization does not endorse. 
  • Posting strips – Metal sign holders adhered to walls around campus.  
  • Contact information – A campus-owned email address or phone number 
  • Campus locations – This policy applies to areas of campus that could be accessed by the general public, like hallways, stairwells, and meeting rooms. The scope of this policy does not extend into individual classrooms and offices. 
  • External Content Board – The corkboard on the first level of campus near staircase C. This board must include messaging provided from the Advancement and Communications department that content presented on it may not be endorsed by Saint Paul College.  

Policy implementation/statement: 

  • Prior approval is not required to post to campus locations. The Advancement & Communications team reviews all postings weekly and removes any posting that does not meet the requirements expressed in this policy.  
  • All postings must follow college rules, including those about advertising, using campus spaces, and other related policies. 
  • Flyers, posters, and other materials can only be placed on approved boards or strips. Do not use tape, glue, nails, or metal fasteners. 
  • Postings must be 8.5”x14” or smaller. 
  • College Sponsored materials may be posted at designated corkboards (including the external content board), poster frames, or door and wall-based metal posting strips provided they include the name of the sponsoring office, department, program, group, or class and contact information. They must also include an EEOC statement (see EEOC policy/Procedure). 
  • External content materials must be 8.5” x 11” or smaller. External content can only be posted to the External Content board.  
  • Event materials will be removed after 3 weeks or once the event is over. 
  • Materials without event dates will be removed after 3 weeks. 
  • Only one copy of any material can be posted within 50 feet of the same material.  

Exceptions:  

  • Career opportunities and job openings are allowed on the “Jobs Board” near room 1240. Career services is the only department allowed to post here.  
  • Contract information and HR related information only are allowed on the “HR Board” near room 1460. HR is the only department allowed to post here.  
  • Art or learning displays (like those on library windows) are allowed with prior written approval from Advancement and Communications. 
  • Laminated posters (like staff photos) are allowed with prior written approval from Advancement and Communications 
  • For short-term needs (like a class cancellation or office closure), signs can be tapped to doors or windows without approval—but must be removed within 2 business days. 

The consequences for failure to abide by this policy will result in the removal and destruction of the posted materials. 

05.22.00.1 – E-Mail Communications

E-mail is the official means for communication at Saint Paul College. Every employee and student will have a Saint Paul College e-mail address and is expected to check e-mail messages regularly to stay current with College communications that may be of a time sensitive nature.

All e-mail messages must adhere to Minnesota State Colleges and Universities System’s Acceptable Use of Information Technology PolicyProcedureEmployee Code of Conduct, Minnesota Statutes 43A.38, Subd. 4 and 43.A39, Subd.2, and the Family Educational Rights and Privacy Act of 1974, as amended.

As with all electronic communication, e-mail is not private and confidential. Users must exercise caution in communicating private, confidential, and sensitive material. When necessary communications will be provided in alternative formats to meet ADA requirements.
